P T A  Meeting June 2, 2008

Treasurer’s Report:  $11,000 before all expenses including field trip expenses, Pix theater, ect… Current balance is $3700.  During the May PTA meeting, we discussed what to spend the $3700 on.  One idea that got brought up was to re-arrange the incoming/outgoing parking lot to make a loading/unloading zone that is more conducive to parent’s picking up their kids in the afternoon.  We are currently taking bids from contractors and considering what can be done by volunteer efforts from parents. 

Pix Theater end-of-the-year event:  Overall, the Pix Theater event was successful.  Students enjoyed the movie and everything went smoothly.  The only issue will be next year.  The 2007-2008 school attendance allowed us to fit into the theater.  Next year’s projected attendance will require us to find a different idea for the end-of-the-year event.  Some ideas were swimming at South Albany High School, a field day at school, or contribute the money towards the artist-in-residence program to do a special end-of-the-year art project.  The overall total for this event was $2000 which paid for the buses and Pix Theater rental fees, with $800 of that money coming from the “kiss-a-pig” fundraiser in February that paid for the snacks that the kids enjoyed.   If you have some ideas for next year’s event, please come to the September PTA meeting and let us know. 

President’s Business:    President Kristy Swanson spoke about the importance of a unified PTA for the new school and Clover Ridge.  We would stretch the parents too thin if they had to attend PTA meetings for 2 schools and there would be no unification between the 2 schools.  Bobbie Rimer seconded the vote and it was passed that both schools would be a unified PTA. 

Principal’s Report:  The DIEBELS reading report is in for the year.  One year ago, the percent for kindergartners reading under grade level was 30%.  This year it is down to 4%.  This is directly related to the amount of volunteers and classified staff helping with reading groups this year.  Thank you to all that help.  You really make a difference at Clover Ridge.  We will have two new teachers next year for 2008/2009.  Caroline Patrick-Hale (the current music/art teacher) will teach a 3rd/4th grade split and Mandy Olsen will teach 1st grade. 

Summer Reading Program:  WAMU, our school business partner, has generously decided to sponser the Reading Program this year.  They are donating $500 to fund this great program for students.  The program will start during the summer (watch for notes coming home) probably on Tuesdays from 9-12pm. 

New School Update:  We hired an assistant principal Ann Griffith that will start working at the school in February to get ready to transition to be at both schools with principal Hoffert-Hay.  The schools that are coming to the new school are South Shore, Oak, Periwinkle, and Clover Ridge.  The first year it will be a 3rd-6th grade.  The next year they will add the 7th grade and then the 8th grade in 2011.  The school is projected to be done by August of 2009 pending any problems with construction.

PTA Meeting February 11, 2008

Treasurer’s Report:  Balance is $9600 with $4000 of that still allocated to teachers, library, and the Clover Rewards store. 

New Business:  Amy Capellen brought some coupon books that were given to us by the Campbell’s Soup Company.  The books have some coupons, recipes, ideas, and a 25 point labels for education bonus in them.  If you would like a coupon book, please call the office or come by and ask Amy. 

Kristy Swanson talked about the Kiss-a-Farm Animal fundraiser going on now.  We have so far collected $344.90 and we still have 2 more days.  Last year we raised $516, so we are hoping to exceed that this year.  The 2 staff members that have the most coins and the 1-2 that have the least coins in their jars will kiss a farm animal that the students will get to chooses.  The animals coming so far are piglets, a baby alpaca, and a pygmy goat.  The assembly will be on Wednesday, February 13 at 2:30pm.  Parents are encouraged to attend to watch the fun.  The Albany Democrat Herald and the Jefferson Newspaper will be coming to take pictures and do a story about how we are raising money for our end-of-the-year event.  The money raised will pay for a movie at the Pix Theater and a snack.  This was a great event last year that the students really enjoyed. 

Carnival!!!

The Clover Ridge Annual Carnival will be on Saturday March 8 from 12-3pm.  We will have many booths with prizes, games, junk-food-walk; silent auction, raffle, food, drinks, snacks, tattoos and hair spray color, and much more.  This year’s silent auction promises to be the best ever.  We have received many donations so far and more are coming in.   So far, we have received many hotel stays, sporting event tickets, and many more exciting things.   If you have/know a business that would like to donate to the silent auction or raffle, please contact the office.  Each class will be donating a themed basket that is filled with donations from parents.  Please watch for more notes coming home from your child’s teacher to see how you can help.

We will be selling tickets for the carnival and raffle in advance.  The prices are 4 carnival game/food tickets for $1.00.  They will cost 3 for $1.00 at the carnival.  The raffle tickets will be pre-sold too.  They always cost $1.00, but if you buy them early you will earn 5 free tickets for every $20 of raffle tickets you buy.  Pre-selling will start on Tuesday, March 4th through Thursday, March 6th.  If you send money with your child instead of coming in to buy the tickets, you will receive your tickets with your child on Friday, March 7th.  Please watch for these to come home in backpacks.  All food/game booths will require at least 1 ticket.  No cash will be accepted at any booths.   

 Volunteers are needed for set-up and clean-up.  Set-up is Friday, March 7th starting at 4:00pm in the gym.  You can come anytime to help.  Clean-up will be immediately after the carnival is over at 3:00pm on Saturday, March 8.   If you can help, please call Kristy Swanson, the office, or Dawn DeFord, the Volunteer Coordinator.  Any help will be very much appreciated.  Thank you in advance for all of your help.  Also, if you know any high-school students that would like to volunteer to help at any of the booths, please contact the office.  The student will get school credit. 

Principal’s Report:  The Albany School District is closing on land for the new school and ground-breaking will be sometime in April.  The school will be a 3rd-6th grade the first year, and then 7th will be added and then 8th the next year.  There may be a ground-breaking ceremony of some sort, so watch for letters to be sent home if you want to be a part of it.

PTA Meeting

January 14, 2008

Treasurer’s Report:  We made over $700 in internet sales from the Fall Fundraiser this year.  We continue to have issues of people not receiving their products from the students.  This mainly came from kids selling to strangers as opposed to family and friends.  Students are told that they need to only sell to people they know to eliminate any problems.  After all of the bills are paid, our balance is $2832.  In the last PTA meeting, Principal Hoffert-Hay asked if some money could be contributed towards document cameras/projectors for some of the classrooms that don’t have them.  Currently 6 classrooms have them and some of the other teachers have been requesting them.  Maggie Phillips said that they make her students learn more easily and are a wonderful addition to her classroom.  Principal Hoffert-Hay requested that we contribute $1500 for 3 more cameras.  Teachers contribute money from their classroom funds and the school also pays a portion.  The total cost for one camera is $1100.  Kristy Swanson asked for a second and it was voted that we would contribute $1500 towards the purchase of 3 more document cameras.  Our new balance is $1332. 

New Business:  Kiss-A-Farm-Animal is coming up in February.  The money raised from this fundraiser will pay for the end-of-the-year activity event for the students.  Last year we raised $516.  The idea is that each teacher, principal, educational assistant, ect… will have a jar set out in the front hall with their picture on it.  Kids are encouraged to bring change or dollars to put into the jars, and whoever has the most will have to kiss a farm animal in front of the whole school during an assembly.  Last year a picture of Gina Jantzi (teacher) kissing a farm animal was in the Albany Democrat Herald.  Last year we had a pig, sheep, and goat.  More info will be coming soon, so start saving your change. 

*Clover Ridge Carnival is coming up too.  It will be on Saturday, March 8 from 12-3.  There will be several games and a great silent auction.  Teachers traditionally make a basket to sell with donated items from the parents and students.  Please watch for more info or talk to your child’s teachers if you have any questions or want to help.  Last year each of the baskets made over $100.  We are probably going to have the inflatables this year.  In addition to the games and booths, we will be doing temporary tattoos and colored hair spray.  Kristy Swanson is talking to the high/middle schools in Albany to get the student volunteers to help so no parents will have to man any booths.  If you know any high/middle school student that would like to help, please contact Kristy or the office.  It is considered community service and the student will get credit. 

*Michelle Wilkinson brought up that some of the Albany school PTA’s are going to form an Albany Council PTA.  A rep from each school and then whoever else from the school can attend meetings a few times a year.  The first meeting is Wednesday, January 23 at 6:30pm at Waverly Elementary School.  Please contact Michelle Wilkinson through the Clover Ridge office for more info. 

Principal’s Report:  Principal Hoffert-Hay talked about a conference he went to last year.  He then introduced the ideas talked about in the conference to the Clover Ridge teachers.  He would like to share some of the ideas with parents in an informal Parent Learning Night about “Love and Logic.”  More info will be coming soon, and you can go to www.loveandlogic.com

The 3rd, 4th, and 5th graders are taking the Oregon Assessment Test this week.  This also determines how well we do on the State Report Card that comes out once a year. 

Principal Hoffert-Hay got a grant for some more computers and to replace some of the bad ones in the computer lab, so we currently have 31. 

Please continue to bring in the Campbell’s Soup Labels with the UPC label attached.  We received over $600 for the fall. 

   

The next meeting will be all about the Carnival so be sure to attend in February.

Treasurer’s Report: The balance is $1600 after all bills are paid. The QSP fundraiser made over $6000. The orders will be in this week. The outside covered shelter is finished, including the lights. The total cost, including permits, was $3800, which included $2208 for the electrical work by G&E.

President’s Report: The Fall Harvest was a huge success again this year. Thanks for all of the help with set-up, clean-up, and help with concessions and games, including all of the middle school/high school helpers. We made $790 for the raffle/concessions after all costs were paid out. This event is a fun, free, family event that isn’t designed to make money, so we were pleased with any profit. The reactions PTA has received about the Fall Harvest have all been positive and people can’t wait until next year.

Clover Ridge Annual Thanksgiving Baskets will continue this year. Non-Perishable food will be collected Tuesday, November 13-Friday, November 16. Then, on Monday, November 19 PTA will put together baskets for any families that might need some extra help this holiday season. PTA will also donate a gift card for milk, eggs, and fruit to add to the basket. These baskets will be delivered by Principal Hoffert-Hay on Tuesday, November 20. The class with the most donations will receive an ice-cream party as an incentive to help Clover Ridge families.

The 2nd Annual Twice Around The Town Holiday Parade will be on Saturday, November 24 at 3:00pm. More information will be coming home soon by Mandee Estes-Varner. The theme is Elves and everyone is invited. The children must have a chaperone to participate in the parade.

Upcoming Events: Winter Wonderland 2007. Friday, November 30 6:30-8:30pm

Last year’s turnout was not as good as we had hoped, so we made a few changes to this year’s party. Each class will be making decorations for table-top trees, platters, or holiday baskets. The activities will be tied into art and math projects at school. Each classroom will be given money by PTA towards their project. The money raised by the silent auction of these items will make money for PTA towards future field trips. PTA will offer concessions for snacks (just like at the Fall Harvest) for a small cost, and there will be holiday crafts for families and kids to do. If you have any ideas/connections for holiday crafts, please call Kristy Swanson, or call the office. This is supposed to be a fun, free, family night for Clover Ridge families. If you would like to help set-up, clean-up or help with crafts, please call Kristy Swanson or Dawn DeFord, the volunteer coordinator.

Treasurer’s Report:  Denise Henderson reported that our balance is $6639.  We are currently accepting bids for the electric installation for the new outside covered area.  Also, some changes were made to how much money the teachers get for special projects/field trips from PTA this year.  Instead, of one amount for everyone PTA decided to give the teachers $12/per child in their class.  Hopefully this will make things easier for everyone. 

President’s Report:  The Fall Harvest Party will be on Saturday, October 20 from 6:30-8:30.

In addition to the regular booths we have at the party, we will include a “creepy corner” with help from Albany Pet Stop.  This will have some special, creepy animal visitors for people to see.  Sandi Gordon is talking to the Pet Store and they have generously agreed to let us borrow some animals to add to our fun night.  Shop-N-Kart, Roth’s IGA, and Albertsons are once again donating cakes and goodies to the junk-food-walk.  They pull the day-old deserts off the shelf and put them into the freezer for one month to save for us.  Clover Ridge grandparent Linda Westbrook has once again generously donated candy for the trick-or-treating at the end of the Harvest Party.  Currently we have some volunteers coming to help out at the booths so parents can be with their children during this fun family event.  In the past kids from SAHS and Calapooia middle school have volunteered.  If you have older siblings or friends that want to help out, please call Kristy Swanson or the office.  The middle/high school students do get leadership credit for helping.  Any help is very much appreciated.  Set-Up is Friday, October 19 after 4:00pm.  If we aren’t done, then we will be coming in on Saturday morning too.  Clean-up will be directly after the Harvest Party is over.  Thank you in advance for all of your help.

Upcoming Events:  School Wide Health Screening is coming up on November 8 from 9am-2pm.  We need parent volunteers to assist weighing / measuring, and checking eyes with the eye chart.  Free lunch is provided to the helpers.  If you can help, please contact the office or Kristy Swanson.  November 14 is Classified Staff Day.  We have money allotted  in the budget for some treats/prizes for these valuable people at Clover Ridge.  If you are in the school that week, please remember to thank one of these people!  They really make a big difference in our school.

Principal’s Report:  Jason Hoffert-Hay reported that 33 projects, worth over $6 million dollars were done around Albany this summer with the bond money, including the new roof at Clover Ridge.  Planning for more projects is going on right now.  The school district has signed a land agreement for the new school.  Brandis Village, the sub-division that will grant the school road access will break ground in early spring 2008.  The district is saying that fall 2009 is when the new school will open.  The Boys & Girls club is generously donating over $1 million dollars for a big new gymnasium at the new school that will accommodate all of the students.  Mr. Hoffert-Hay also said that he will try to get some preliminary plans for the school that he can bring to the next PTA meeting.  Because of our heated discussion at the September meeting about head lice and the school’s policy, he also looked into it and got some answers.  Once a month, teachers will be checking all students for head lice.  If any is found on a student, notes will be sent home that head lice has been found in the school and parents should be aware so they can be checking their child more carefully.

Treasurer’s Report: Current balance is $6800.  Most of that money is allotted for finishing the outside covered structure, including lighting.  PTA is currently looking over bids.  If you have any contacts, please call Kristy Swanson or the school office.  Some of the balance is also allotted for PTA insurance and other small expenses.

Kristy went over the standing bylaws of PTA.  Michelle Wilkinson noted that the Quorum was left blank which states that PTA must have at least 6 voting members to vote on any changes.  Amy Capellen motioned that we accept the standing bylaws with the Quorum change and Tina Gahagan seconded.  Kristy also talked about the change in the fundraising efforts this year.  The big Fall Fundraiser will be starting on September 27 and run through October 8.  PTA will not be doing the spring fundraiser. Principal Jason Hoffert-Hay said that the staff will be handling it this year.  It was noted that we currently have 344 students, and last year we had 300.  PTA is hoping to break the record made last year for the fall fundraiser with the added students.  Treasurer Denise Henderson noted that Domino’s Dough Night on the first Monday of the month didn’t make Clover Ridge very much money last year.  With new management, and some small changes made, PTA is confident it will do better this year.  Denise also said that in October, she will be collecting Box Tops and Campbell Soup Labels from the classrooms.  She will continue the Ice Cream Party incentive for the most Box Tops and Soup Labels in the school.  Last year this program raised over $300 for our school.  Kristy mentioned other ways that the school can raise money from the community.  Albertsons has a community partner card that will give us a percent of the total amount of your bill.  Target has a credit card that will give us a percent of the balance also.  We also receive money from Washington Mutual from their Debit Card program.  Also used ink-cartridges can be brought in for money for the school.  If you have any questions, please feel free to call the school or stop by the booth at Open House on September 25. 

We talked about possible ideas for the money raised during the fall fundraiser.  Principal Hoffert-Hay had some suggestions of more projectors/document cameras for classrooms.  PTA would possibly contribute some money towards the purchase.  We will discuss more ideas in future meetings.  Please come with ideas.   

Volunteers:  PTA is looking for some volunteers for some activities this year.  We appreciate our helpers so much, and couldn’t do most of what we do without you.  Thank you in advance.  Here’s a list of what we could use some help with.  Also, there will be a sign up sheet being sent home soon for volunteers.  You can turn it in at Open House or send it with your child in their backpack. 

*Harvest Party set up Friday, Oct. 19/20 or clean up on Saturday, Oct 20.

*Clover Rewards Store once a month on Tuesdays for 1-2 hours in the morning or afternoon.

*Natural Area maintenance once/twice a month (contact Mr. Hoffert-Hay)

*Health Screening November 13 all day 

Principal’s Report:  Mr. Jason Hoffert-Hay introduced himself and told a little about his background.  He is very focused on making some positive changes for Clover Ridge.  He encouraged parents to talk with him about any questions or concerns.  One topic that got approached to Mr. Hoffert-Hay was head lice and the school’s responsibility.  School Board and PTA member, Sandi Gordon said that she believes that a new district policy will be coming out soon regarding head lice procedures and guidelines.  Our first school-wide official screening will be at the Health Screening on November 13.

P.T.A.  June 4, 2007 Minutes

Treasurer’s Report:   Denise Henderson reported that the balance is approximately $9200 with no outstanding bills.  The remaining balance is for any costs the builders may incur or any permits that are required for the summer building project of enclosing the outside shelter. 

Upcoming Events/Dates:  Our principal, John Vandepas is retiring at the end of the year.  PTA will be hosting an assembly on Monday, June 11 at 9:15am in the gym.  Parents are welcome to attend to watch PTA and the Clover Ridge Students present Mr. Vandepas with a thank-you gift for being such a great principal. 

Announcements:  The end-of-the-year event this year was a huge success!  Everyone, including students, teachers, and parents thought that going to the Pix Theater was a great idea that we should continue annually.  The money raised from the “Kiss a Pig” fundraiser paid for this fun event.  PTA agreed that it was an effective way to raise money for a good time for the students. 

A special thank you to the students from Mrs. Fairgrieve’s class.  They gave us a lovely card that the students signed in appreciation for the hard work that PTA does all year. 

Teacher Appreciation week went very well this year as well.  PTA received many heartfelt cards in appreciation from the teachers for their special week and gifts.  Thank you to all of the volunteers that helped out that week.  It was very much appreciated. 

PTA also discussed next year’s schedule and we have some dates for the Fall Harvest Party, Winter Wonderland Party, Kiss a Pig, Carnival, and our fundraisers.  These dates will be available in September at the first PTA meeting.  That meeting will be a great opportunity for anyone interested in finding out what PTA is all about and what a big difference you can make in you child’s school.

P.T.A.  Meeting  May 7, 2007

Treasurer’s Report:  After all outstanding debts are paid, our current balance is $9200.  Amy Capellen requested PTA buy some more letters for the reader board.  We voted on allotting money to buy more letters. It was approved.  The balance will pay for the end of the year event and leave us a significant balance to pay for permits and supplies for the outside covered area that will be completed this summer.

New Business:  Teacher Appreciation Week is right now.  PTA decided that students could bring a card/picture on Tuesday, a flower on Wednesday, and an optional gift on Thursday to their teacher.  Vases will be provided for the flowers on Wednesday.  The teachers received candy bars and balloons on Wednesday.  Thursday, PTA will provide a nice breakfast and present the teachers with their gifts. 

Clover Rewards Store:  There has been some major discussions all year about how to make the Clover Reward program more successful.  Many people had some ideas during the meeting and PTA is going to look into what some other schools are doing to see how we can improve this idea in the future.  If you have any ideas please let us know at the next meeting. 

End of the year event:  June 4 we will be having a fun activity for the kids.  Kindergarten through 2nd grade will go on buses to the Pix Theater downtown at 9:30am to watch a new release movie that will be rented by PTA.  They will return and have a pizza/soda lunch at Clover Ridge.  The 3rd through 5th graders will have their lunch and then go to the Pix Theater to watch their movie at 11:30am.  PTA has allotted money in the budget at the beginning of the year for this activity.  The total cost for the bus and theater rental is $800.  We are estimating at least another $500 for the pizza lunch.  PTA is asking for volunteers to help serve lunch from 11-1 on Monday June 4.  If you can help, please contact the office or Kristy Swanson.  If you want to help chaperone the field trip, please contact your child’s teacher for more information.   

Outside Shelter:   Willamette Valley Home Builders will be volunteering their services to enclose the shelter to provide an area for the kids to go during rainy days.  This project will be completed during 2 weekends in July.  The labor will be provided by WVHB, but the permits and possibly some materials will be paid for by PTA.  Kristy Swanson has a list of the materials needed for the project.  We are looking for donations of these materials to help with the overall cost.  Please contact Kristy if you/your business can help out.  THANK YOU!

The carnival went very well this year.  We made a lot of money for projects around the school and Clover Ridge families had a lot of fun.  We had little wasted food (better than last year.)  Several different games and prizes this year made for a great time.  PTA wants to again thank all of the volunteers and donations that came in to help this year.  Big thanks to all of the Middle/High school help too!  Much Appreciated!!

Update on the enclosure of the back shelter next to Mrs. Graham’s room and the gym:

Walt Redman of the Willamette Valley Home Builders Association will be able to complete the enclosure this summer.  Tony Nova will be assisting also.  The estimated PTA cost is $5000. The money will go towards some materials and permits.  The labor is all donated.  Thanks Walt and Tony.  This money will come out of the balance we already have.  This will be a great area for the kids to go during rainy days for recess. 

We purchased more die-cuts for the workroom.  The cost was $280.  We also purchased some more shelves for the die-cuts.  The cost was $220 with 20% off of our purchase. 

The Clover Reward Store needs more money.  We allotted $250 at the beginning of the year in the budget for it, but it wasn’t enough.  We agreed that an additional $150 was needed.  We voted and the funds were approved.  Because of the late order, the Clover Rewards orders will be filled next Tuesday.  Everyone agreed that it is a good incentive program for the kids to have good behavior and were looking at some more ideas to offer that might appeal to the older kids.

Teacher Appreciation Week:

May 7-11, 2007.  On Tuesday, the kids will be asked to bring their teacher a flower.  On Wednesday, the kids will be asked to bring a card for their teacher.  On Thursday, the kids will be asked to bring a small gift to their teacher.  In addition, PTA will be giving the teachers some presents throughout the week.  Last year the teachers were given a breakfast, lunch, and some presents totaling $250 per teacher.  We discussed the pros and cons of last year’s ideas and came up with some new ideas.  They will be presented the week of May 7-11.  If you would like to help with any of the preparations, please call Kristy Swanson or the office.

P.T.A.   Meeting March 5, 2007

Treasurer’s Report:  Our current balance is $8110.  The $300 allotted to the teachers at the beginning of the year, is being used and that total is already subtracted from our overall total.  The t-shirt order was turned in.  The order totaled over $800.  The orders will be in on Friday and will be distributed on Monday March 12.  There will be more opportunities to buy shirts.  We talked about displaying some extras that PTA ordered at the carnival on the 17th.

New Business:  CARNIVAL TIME!  The focus of the meeting was about the upcoming carnival on Saturday, March 17th from 12-3.  We will be having an obstacle course inflatable, silent auction, raffle, games, junk food walk, pizza, hot dogs, and nachos, drinks, and much more.  There will be fun for the whole family.  Set-up for the carnival will be on Friday March 16 at around 5:00pm.  We need all the help we can get.  Either call for details or just show up.  We are hoping to have all high/middle school students help this year again.  This frees up the parents to spend time with their kids and not have to help with a booth.  If you know of any group of volunteers that might be willing to help out, please call Kristy or the office.  The volunteers would need to be at the school by 11:30am and stay as long as they can.  Currently we have some South Albany and Calapooia students and of course our wonderful Washington Mutual helpers.  Washington Mutual is our business partner and they help us out throughout the year in so many ways.  Thanks again.

Upcoming Events/Dates:  Our next big event will be Teacher’s Appreciation Week.  This year it will be May 7-11.  In the past PTA has sponsored a lunch and a breakfast.  We have also given teachers their wish list presents.  This money has already been allotted in our budget.  Last year the teachers gave us wish lists with requests for much-needed supplies for the rooms.  We then presented them with something of their lists at the lunch.  We talked about maybe doing that again this year.  We will be discussing possibilities at our next meeting.  Please come with ideas.

KISS A FARM ANIMAL CONTEST

 

 

PTA wants to try something new this year!!  One of our parents brought a great idea to our PTA meeting, Kiss a Farm Animal contest!!! This is how it works, all of our teachers, and some of the staff will have a jar with their name on it, that money can be put in. Starting Feb. 5th – 9th   everyday we will have a table set up at the front of the school by the office between 9:00 – 9:15 am, with all of the jars with the teachers and staffs names on them. So that when the parents or children come in they can choose which jar with the teachers name on it they want to put their money to into. We can accept change, cash or checks. PTA will count the money and show a graph on what amount each teacher or staff member have in each jar. At the end of the week what ever jar has the most money in it that will be the person that will Kiss the Farm Animal during our assembly Feb. 13th at 3:00pm. So if you want a certain person to be on that stage Kissing the farm animal make sure they end up with the most money!!!!

All of the money raised will be for the end-of-the-year event. PTA is going to be sponsoring a trip to the bowling alley for the whole school for our end of the year event. So we were thinking if we raised enough money we could have pizza for lunch with bowling or maybe sundaes.

P.T.A. Meeting February 5, 2007

Treasurer’s Report:  Balance is $6857.00

New Business:  Kiss A Farm Animal started today.  The money raised from this will provide snacks or a lunch for the end-of-the-year event at the Pix Theater.  The “lucky” animal could be a lamb, goat, chicken, or pig.  Also, Amy Capellen is trying to get the Democrat Herald Newspaper to cover the assembly on Tuesday February 13 at 3:00pm.  Everyone is invited!

It was discussed that the original idea of bowling for the end-of-the-year event was going to end up costing too much money and was over budget.  Denise Henderson (p.t.a. treasurer) came up with the idea to use the Pix Theater as an alternative idea.  We would bring in a movie for each session.  Kinders, First, and Second graders would be the first session, and then Third, Fourth, and Fifth graders would go next. 

Upcoming Events/Dates:  Carnival time!  Saturday, March 17, 2007 from 12:00-3:00.  There will be several booths, pizza, snacks, drinks, junk food walk, games, prizes, and an inflatable obstacle course.  Also, Roberta “Nana” Newman has generously decided to head up the Silent Auction.  We will also have a raffle.  We will be doing pre-sales of tickets again this year so watch for the notes to go home in March.  It was stressed that if you have anything to donate to the silent auction or raffle drawing, please contact Kristy Swanson, or the office.  We need all the donations we can get.  We also need a lot of help with set-up and clean-up.  Set up will be on Friday March 16 in the afternoon/evening.  There are also some projects that can be done at home and in your spare time.  If you want to help, please contact Kristy. 

Announcements:  The outside enclosure to provide the students with a covered area when the weather is bad, is getting closer to a reality.  Willamette Valley Home Builders will be providing all of the labor and most of the materials for free.  PTA’s only cost will be permits through the city and possibly a small amount of materials.  The money for this has already been allotted as part of the budget. 

Scarecrow Designs gave PTA some basic designs for some Clover Ridge T-shirts, Sweatshirts, and Polos.  After some heated discussions, it was finally decided that the design would have a clover and say Clover Ridge est. 1914 written in black.  The prices will be around $20.00 for the sweatshirts and then less for the other choices.  We will be able to order some soon, after Denise Henderson, and Kristy Downer go back to Scarecrow with the design ideas we voted on.

PTA   MEETING  JANUARY 8, 2007

Treasurer’s Report:  We have a balance of $6706.92.  Our total profit for the tree auction is $1425.04. 

New Business:  In December, it was discussed that we might get shirts to sell.  Scarecrow Designs has been contacted for some ideas and the prices range from $5 to $20.  We are talking with Polly from Scarecrow and by the next PTA meeting in February, we hope to have some sketches to look at and then vote on a shirt design.  One idea was to have pre-sales, not just to buy them in bulk and hope they sell.  Also, to have some extra available for school events like the carnival, so people can see them before they ordered any.  The shirts and sweatshirts would be for kids and adults.  We talked about the fact that gray is a neutral color  and would sell well.

Upcoming Events/Dates:   PTA has come up with an idea to raise some extra money for the end-of-the-year event.  A “Kiss a farm animal” event will involve the teachers and some staff to have jars for the kids to fill up with money during the week of the Feb. 5-9.  The last day, the money will be counted and totaled.  The “winner” will have to kiss a farm animal during a school-wide assembly on Feb. 14.  The money has already been allotted for an end-of-the-year activity, thanks to earlier fundraising efforts, so the money raised during this fundraiser will go towards a special lunch and possible ice-cream sundae party for the activity. 

Also, the annual Carnival will be coming soon.  The date chosen is Saturday, March 17.  It will include a silent auction, raffle, a possible inflatable obstacle course, booths, and much more.  If you have, or are associated with a  business that would like to be involved with donations for the raffle or silent auction, please contact Kristy Swanson or the office for details.  Thanks so much in advance.  And, remember, your donations are tax deductible!  Also, if you signed up to help or are interested in helping with the carnival the next PTA meeting will be an important one to come to.  We need all the help we can get.  There may be things that you can do at home or in your spare time.  Contact Kristy or Dawn if you want to help.  Thanks.

Announcements:  PTA will not be selling cookies anymore on Fridays.  The only thing being sold right now is popcorn for .25 cents a bag.  If this changes, we will let everyone know.

We talked about doing something different next year.  It was discussed that a possible idea would be for the classes to not do trees, but do other kinds of crafts.  Maybe make it into a craft-family night.  It was decided that maybe the turnout would be better than this year, and maybe have a silent auction, instead of a live auction to raise more money.  The overall total for profit this year was over $1100.00. 

We talked about not doing the Veteran’s Day Parade next year and to continue doing the “Twice around the town” parade instead.  It is very low-key and went well this year. 

New business:  Our next big activity will be the Valentine’s Day “Kiss a farm animal” coin challenge.  More details to come later, so watch for them.  This will be to raise money for the end-of-the-year event for the students. 

The next event after that is the carnival!  The date is Saturday, March 17.  We did it on the same Saturday last year and we had a great turnout.  The first meeting will probably be in January, so please look for the notes coming home.  PTA would LOVE it if more people were involved with the decision making process.  We will also need help with set-up, clean-up, and donations.  If you know a company that would want to donate something for the silent auction, please call Kristy. 

Amy Capellen brought up selling shirts, sweatshirts, or hats saying Clover Ridge.  Melissa Schumacher and Kristy Swanson are going to look into prices from people they know in the business.   If anyone can help with this endeavor, then please call Kristy.  We discussed the fact that they need to be gender neutral and simple.  They could be sold a few times a year at various PTA functions.

Treasurer’s Report:  Balance is $10,200 with some outstanding bills.  $7200 was made from the fall fundraiser.  The Fall Harvest Party made $289.  $3000 needs to come out of the balance for the teachers for field trips, ect.

Also, the Box Top classroom contest is over.  Winner’s will be announced.  On October 31, Denise Henderson sent our first form in to get the money, and we made $300.

Principal’s Report:  John Vandepas mentioned that he hopes everyone has voted and the bond passes.

New Business/Upcoming Events:  We had a great Fall Harvest Party this year.  Thanks for the support for the school.  Everyone was so very helpful with the setup and cleanup.  It went so smoothly with everyone’s help.  Target generously donated some props and signs for next year’s event.  We will have a spookier haunted house next year.  The fall fundraiser is in.  If anyone can help with  getting everything organized on Wednesday, it would really help.  We will start at 1:00pm.  Find Kristy Swanson on the stage. 

Our next big event for P.T.A. this year will be the Thanksgiving Baskets of food.  From November 13th-November 17th baskets will be set up outside the classrooms and kids are going to be asked to bring non-perishable food to fill their basket.  In addition to the donated food, P.T.A. will purchase ham/turkey, pumpkin pie, rolls, fruit, and milk to complete a meal for needy Clover Ridge families.  P.T.A. will need help putting together boxes for the families on Monday, November 20.  If you can help, please call Kristy Swanson or Denise Henderson.  Or you can call the office.

 P.T.A. has decided not to do the Veteran’s Day Parade this year.  We were not able to get a semi-truck this year, and a flatbed truck/trailer will only hold about 35 kids.  We didn’t want to restrict the number of kids who participate, so we came up with another idea.  There is a Twice Around Downtown Parade in Albany to kick off the holiday season on November 25th at 3:00pm.  P.T.A. is inviting every student to join.  Students will be required to walk with a parent/guardian.  We will hand out candy to people watching the parade.  There is also a tree-lighting ceremony at Two Rivers Market after the parade.  More details to come later. 

December 1 at 5:00 will be our annual Holiday Auction/Craft Night.  We will be serving a chili dinner and cake.  At 7:15 the live auction will start.  We will feature trees, wreaths, platters, ornaments, and other Holiday items.  Some classes will also have craft tables with things that the students have helped make.  This is a great way for the school to make money and for families to get something great to give as gifts or wonderful keepsakes for years to come.  The wreaths were donated by Katie Blalack’s (mom of student, Gavin Blalack) aunt.  Thanks!  There is no school on December 1, so there will be plenty of time for setup.  If you want to help with setup, cleanup, assembling of trees, wreaths, or crafts, please contact your child’s teacher.  They will have all of the details.  The teachers will need lots of help in anyway you can, so please let them know.  There may be things that parents can take home to help too.  Setup will start at about 10:00am on the 1st.  Call Dawn DeFord or Kristy Swanson if you want to help setup. 

Announcements:  P.T.A. president, Kristy Swanson, wanted to say that the support from the families, teachers, and students this year, has been awesome.  Everything flows so much more smoothly if we have support.  From the grandparents that buy raffle tickets, to the parents who stay late to help setup the Fall Harvest Party, to the teachers who are helpful in everyway.  You are all appreciated and we thank you again.
